Ask for the missing file, not “your documents”
Document intake automation
Document intake is the chase: the W-2 that is not in the portal, the ID that arrived by email, the engagement letter that was never returned. The workflow compares what you asked for with what arrived and drafts the next ask.
A checklist, not a dump
We start from a list you already use. The draft names the missing item. It does not summarize a file into advice, a tax position, or a legal conclusion.
A person sends the chase, at least until you have watched it. Filing, signing, and client advice stay with your team.
Where the files live
Email, a portal, and a shared folder are usually all in play. The audit maps which one is the system of record so a file is not requested twice.
- One checklist
- One system of record
- A reviewer before anything is called complete
Sensitive files
Tax files, medical records, and matter files are not treated like a catering PDF. The audit says which files a tool may see. Health-related businesses should talk with us on the free call about their privacy requirements before sharing any patient information.
Questions
Will it read every attachment?
It reads the types you approve, looking for “is this the document we asked for?” It is not a license to mine a client’s history for other purposes.
Can it complete a tax return or a filing?
No. It chases inputs. Preparation and filing stay with the people who are licensed to do them.
What does it cost?
Pricing on request. The audit prices the hours your staff already spend re-asking.
